Automate task handoffs

Move work between people automatically when a task changes column.

Set up rules that reassign tasks automatically when they move to a new column. This keeps work flowing to the right person without manual updates, so nothing gets stuck waiting for a handoff.

You'll create a When → Then rule: when a task reaches a specific column, it reassigns to a person or team. Once enabled, the automation runs on every matching task and logs each action in the Runs column.

The Automations section is where all your task-movement rules live.

3

Define the rule as When → Then. Here, when a task moves to In review, reassign it to the QA rotation.

This rule ensures every task that reaches In review goes straight to your QA rotation, so reviewers always know what's waiting for them.

Click Turn on automation. It runs on every matching task from now on, and the Runs column tracks activity.

Check the Runs column regularly to verify the automation is working as expected and catch any edge cases early.

What's next

With task handoffs automated, consider setting up additional rules for other columns—for example, reassigning to the dev team when a task moves back to In progress, or to the product owner when it reaches Done.

Automations save time across your whole workflow and reduce the chance of tasks falling through the cracks.
