Record an invoice payment

Mark an invoice paid and post the cash to the right bank account.

When a customer pays an invoice, you need to record that payment in your accounting system so your receivables and cash balances stay accurate. This keeps your financial records in sync with your bank and lets you track which invoices are still outstanding.

Open the invoice the customer just paid.

Enter the payment date, the account the money landed in, and the amount received.

You're telling the system exactly where the money landed and when, so it can update both your receivables and your cash accounts.

Click Record payment. Receivables are cleared and cash on hand updates.

Once you click Record payment, the invoice shifts to Paid status and your cash balance updates immediately.

The invoice now shows as Paid. Partial payments stay open with the remaining balance.

If a customer sends a partial payment, the invoice stays open and shows the remaining balance due — you can record additional payments against it later.

 

What's next

If the customer sent a partial payment, you can return to this invoice anytime to record the remaining amount. For invoices paid in full, your cash position is now updated and receivables are cleared.
